How to Pack Things for Moving: Room-by-Room Guide

Concrete numbers, correct sequence, and a labeling system so nothing breaks and unpacking does not become a quest.

Most people start packing one or two days before moving and then face chaos. Proper packing reduces loading time by 30-40% and almost completely prevents damage. Here is how to do it.

When to start packing things

WhenWhat to pack
10-14 days in advanceOff-season clothing, books, rarely used decor, sports gear, extra dishes
5-7 days in advanceLibrary, toys, collections, paintings, auxiliary equipment (printer, chargers, cables)
2-3 days in advanceMost of the kitchen (leave minimum for cooking), clothing except what you wear now
1 day in advanceBed, cleaning supplies, leftover food, everything still in daily use
On moving dayOnly the day-one box and items used in the morning
Main rule: do not leave packing for the last evening. Even for a 1-bedroom apartment this is at least 4–6 hours of work.

How many boxes are needed for moving

The most common question — and the most common vague answer. Here are concrete numbers from real moves:

1-bedroom apartment
25–35
boxes
+ 2 rolls of tape
+ 2 rolls of wrap
2-bedroom apartment
45–60
boxes
+ 4 rolls of tape
+ 3 rolls of wrap
3-bedroom apartment
70–90
boxes
+ 6 rolls of tape
+ 5 rolls of wrap
Tip: Get boxes in three sizes — small (books, dishes, heavy items), medium (general household), large (bedding, pillows, clothing). Heavy items — small boxes only. Max box weight — 15 kg, or you risk torn bottoms or injury.

What you definitely do not need: special expensive "furniture blankets" (movers have their own), "moving boxes" with handles (regular boxes are cheaper and just as good), plastic containers with lids (take more van space and stack poorly).

Packing by room: what and how

Finish one room completely before starting the next — there will be much less chaos.

📚 Living room and office
  • Books — small boxes, no more than 10–12 kg
  • Paintings and mirrors — each in bubble wrap + stand vertically
  • Decor, figurines — each wrapped in paper, then in a box with soft padding
  • Cables and gadgets — in one bag or box, labeled
  • Documents, valuables — separately, with you, not in the truck
🛏 Bedroom
  • Clothes on hangers — can move in trash bags (make a loop on hooks)
  • Bedding and pillows — large boxes or vacuum bags
  • Jewelry and valuables — with you only, not in boxes
  • Mattress — wrapped in stretch wrap, protection from dirt
  • Disassemble furniture 1 day ahead — screws in a bag, taped to the part
🍳 Kitchen
  • Dishes — each item in paper separately (more in the next section)
  • Spices, dry goods — tape lids so they do not spill
  • Cleaning supplies — separate from food, plastic bag over each bottle
  • Knives and sharp items — in thick material or cardboard "sheath"
  • Eat or give away fridge food — the heaviest load
🚿 Bathroom and toilet
  • Cosmetics and hygiene — in a bag, then a box
  • Liquids — tape closed, in a zip bag in case of leaks
  • Towels — in a bag or box, can protect fragile items
  • Leave minimum for the last morning — toothbrush, soap, towel

How to pack dishes and appliances so nothing breaks

Dishes and glass

  • Each item separately in paper or bubble wrap — even if it seems small.
  • Plates — vertically, like a stack of records, not flat. Vertical position withstands 3–4 times more pressure.
  • Glasses and cups — paper inside + outside, place upside down.
  • Box bottom — soft layer (towel, wrap). Top — another layer. Fill gaps between items with paper.
  • Do not overload — a dish box should not weigh more than 12–15 kg.
  • Write "FRAGILE" and arrow "UP" — these two words prevent 90% of problems.

Home appliances

  • Ideal — original boxes. If you have them — use them.
  • Without original boxes: wrap in bubble wrap (2–3 layers), then in a properly sized padded box.
  • Remove hard drives from computers and transport separately if they hold important data.
  • Monitors and TVs — stand vertically, never flat.
  • Fridge: defrost a day ahead, wipe dry, tape doors shut.
  • Washing machine: lock drum with transport bolts (if available) or padding inside.

Labeling System: 10 Minutes That Save 2 Hours

Most people label boxes chaotically or do not label them at all. The result is 3 hours of sorting at the new place searching for needed items.

An effective system is three lines on every box:

🍳 KITCHEN
Pots, pans, boards
★ FRAGILE ↑ UP
  • Line 1 — room (capital letters, visible from afar). Marker color by room: blue — bedroom, red — kitchen, green — kids room.
  • Line 2 — brief contents (3–5 words, not a full list). Not "misc" — useless. Write "Books 1", "Kitchen dishes", "Winter shoes".
  • Line 3 — FRAGILE and UP arrow, if needed. This is what movers look for when carrying.
Life hack: Number boxes and keep a simple list on your phone: "box 12 — kitchen, tableware". If you need something quickly — find it in 10 seconds.

🌟 Day-1 box (or bag) is mandatory

This is a separate bag or box that you do not load with everything else - it rides in the cabin or stays at hand. It should contain everything needed for the first 12-24 hours after moving:

  • Documents (passport, lease/purchase agreement, certificates)
  • Phone, chargers for all devices
  • Medicines (especially if taken regularly)
  • Toiletries: toothbrush, paste, soap, towel
  • Change of clothes and underwear
  • Kettle + coffee/tea/sugar + a couple of mugs
  • Toilet paper and liquid soap
  • Cash and bank cards
  • Keys to new and old premises

Without this bag the first night at the new place turns into searching closed boxes at 11 PM.

Top 5 packing mistakes

1
Leaving packing for the last evening

Result: you spend the night in chaos, movers wait while you pack, and you pay for extra time. Solution: start 7-10 days in advance.

2
Putting heavy items in large boxes

A 25 kg box of books means an injured mover's back or torn cardboard on stairs. Pack books only in small boxes, max 12-15 kg.

3
Placing plates horizontally (flat)

Flat, a plate cracks from vertical pressure. Stand vertically — withstands 3–4 times more load.

4
Not labeling boxes or writing "misc"

30 identical unlabeled boxes — 2–3 extra hours of unpacking. Even a simple "kitchen / dishes" label saves an hour.

5
Packing everything from different rooms into one box

It seems faster, but in practice every unpacking turns into a detective story: "where is that TV cable?" One room - one box.

FAQ

How many boxes are needed to move a 1-room apartment?

Estimate: 25-35 boxes of different sizes. Plus 2-3 rolls of tape, 2 rolls of bubble wrap, wrapping paper, and a marker. If you have many books or dishes, add 5-8 small boxes.

When should you start packing before moving?

Optimal timing is 7-10 days in advance. At 7+ days, pack off-season and rarely used items. At 2-3 days, pack most of the kitchen and clothing. Leave only essentials for the last day. Do not leave everything for one evening.

How should you pack dishes so they don't break?

Each item — separate paper or bubble wrap. Plates — vertically (not flat). Soft padding at box bottom. Protective layer on top. Label "FRAGILE ↑ UP".

Do you need to buy special moving boxes?

No. Regular cardboard boxes from a supermarket or hardware store work fine. Main thing — reinforce the bottom with two layers of tape and do not exceed 15 kg.

What is a "day-1 box"?

A separate bag with everything for the first 12–24 hours: documents, chargers, medicines, toiletries, change of clothes, kettle. It does not go in the cargo area with everything else — keep it at hand.

Do VantageOK movers pack items?

Yes. We offer turnkey packing — we arrive with materials, pack, and label. Call to confirm details for your volume.
